AC Production Guidelines

I. The Request

Pick-ups

Pick-up with no changes is just that NO CHANGES. (No size change, no copy change, etc...)

Pick-up with changes:

Minimal copy change
Size change
Code change
Keyword (additions or subtractions

Templates

Small space ads will be formatted to templates, ie.-- in special instructions, reference template # from book that will be provided

Large ads without templates.

Include old job number and location (Server or disk #) and date

New format introduction needs 1 WEEK TURNAROUND FOR OPTIMUM RESULTS. If you know a new format is going to be implemented, give notice to production so we can format and create template. NO NEW THURSDAY IMPLEMENTATIONS!

Proof Deadlines

DO NOT include a proof deadline time unless client specifically needs or there is an early space deadline. Be realistic and remember that the production centers are producing ads for multiple offices. We do ads in the order they are received.

Please check and make sure that the actual Shipping deadline is correct. That is the first thing we look at.

 

Multiple IO's

Multiple IO's may be on the same request if the size of the ad is the same or no greater than 1/16".

ANY SIZE CHANGE requires a new production request.

 

IO's

All IO's need ship date hand written on them or they will be returned.

NO PO BOX NUMBERS

Verify your shipping addresses. We will ship to the address you give us.

Oversize ads. Please mark or indicate if this ad is larger than 8.5 x 11.

 

Color

Please visibly mark on the request (ie. circle, arrow, etc.) where color is indicated.

Mark IO's with color specifications if less than four colors.

 

II. Sending Copy

Text

Save as .txt file

NO FORMATTING

DO NOT TYPE ALL CAPS, BOLD OR ITALICS for headlines.

All copy should be U/L case and flush left

DO NOT TAB OR CENTER COPY

Always provide a hard copy of text and indicate bolding and caps on hard copy.

For bullet points please use asterisks when setting copy.

 

III. PROOFING

Ads

Familiarize yourselves with the standard proofreading marks that you have been provided.

Please proof your ad ASAP and return to production. Do not gang your ads to be proofed.

Write all corrections in upper and lower case print.

Do not write corrections closer than 1/2" to the edge of the page, it gets cut off during faxing.

PLEASE NOTE ALL KEYWORD ADDITIONS OR SUBTRACTIONS ON THE 1ST PROOF oF your original copy. (Adding or subtracting changes the size of the ad.)

DO NOT LEAVE CORRECTIONS ON VOICE MAIL....EVER!

If copy changes on an ad are extensive, please remodem it. (If in doubt, call).

Please proof thoroughly. Getting the same ad back six times for corrections that should have been made the first time or two, increases the cost of production to your office and adds extra time to finalizing ads

IV. SPECIFICATIONS

Our Printer

Size-up to 11 x 17" with .25" margin
Resolution-up to 100 lpi (lines per inch), 1200 dpi (dots per inch)

 

Outside Vendor

Any job larger that 11 x 17" or 133 line screen or up needs to be sent to the vendor.

Any 4-color process job requiring negs and matchprint. ALL 4/C work requires a matchprint.

 

Turnaround Times

Standard-6 hours
Rush charge- anything LESS THAN 6 HOURS.
Color-4 color negs and matchprint require 6 hour turnaround
Scans24 hours

 

Terminology

Imageset. This is the slick glossy paper printed from the vendor. Usually 1200 dpi/133 lpi. Needs to be imageset if larger than 11 x 17"

Velox. This is a print created from a negative. Usually when you say you need a velox you need it imageset.

Seps. Negs vs paper. If negs are not specifically requested paper seps will be supplied.

Tissue Overlay. This is a term used when a publication will manually separate your art and request for color placement

4/color. This refers to process color separations. The 4-color process which all colors are built from are CMYK or (Cyan, Magenta, Yellow and Black).

Matchprint. This is the color proof for 4-color jobs. It is produced from the negatives and each plate is burned onto a CMY or K emultion and registered for a composit proof. It is the most accurate of all color proofs. This does not mean when printed it will turn out exactly this way, that's up to the printer. The matchprint is merely a guide for the printer.

 

V. ADSEND

What is AdSend?

AdSend is a dedicated modem line supplied by Associated Press that is networked with most major newspapers across the United States. Ads are modemed to a main server in New Jersey and then pulled and examined by AP to determine priority and method of delivery and delivered to the specified newspapers via satellite or by electronic bulletin board service.

Advantages

AdSend is a cost-effective means delivering you ads to major newpapers within an hour.

AdSend is still considered our SECONDARY method of delivery with FED-X being primary.

We can AdSend full page newspaper ads.

Disadvantages

As anything that's not hands-on, an occasional error occurs such as font defaults, graphics not embedding, or ads getting inadvertently cut off.

Cannot AdSend to any publications besides newspapers with AP lines.

Responsibility of complete ad delivery is out of our hands.

If you are adsending late in the day, your ad cannot be confirmed after 5:00pm.

Confirmation

You MUST confirm all AdSend ads just the same as you would when they are FedEx'd.

Special Delivery Services

We use these as a last resort and can cost your office/client as much as $200.

 

VI. OTHER TOPICS

FedEx picks up at 5:15 PHOENIX TIME. The DROP DEAD FedEx run is 6:15 PHOENIX TIME and requires a trip to the airport which is never an automatic. WE CANNOT PROMISE THAT YOU'LL MAKE FEDEX IF YOU RELY ON THIS TIME. For many of our offices this requires earlier deadlines to make FedEx.

LA office FedEx pickup time is 5:00 pm. DROP DEAD is 5:45 pm

Seattle office FedEx pickup time is 5:00 pm. DROP DEAD is 6:00 pm.

Production's office hours are 8:30am to 5:00pm. If you need us after 5 for a late ad, you will need to notify us ASAP. Thursdays are always late days, we're there until all ads are out that need to ship Thursday.

On Thursdays, call and give verbal OKs after 4 pm. It frees our fax and yours.

Please give production a "heads up" in regards to any ads that will be coming our way late in the day or on any large ads that will be coming during the week. This courtesy not only will allow production to prioritize current work loads but make arrangements to stay late if necessary.

Creative/Production has a full-time Traffic Coordinator. All calls regarding job status, receiving of ads and paperwork, verbal approvals, shipping instructions and any FedEx tracking should be directed her way. Her name is Annette Dubecky.

Bleed vs. Live Matter Size vs. Trim Size- There appears to be some confusion regarding specifications with full page ads. Please include publication specifications with ALL FULL PG. ADS. With bleed ads the important specification is the TRIM SIZE. In our line of work you should automatically know that a printer needs at least 1/8" for bleed, therefore the trim size is the most critical.

The LIVE MATTER SIZE is required when doing a full page ads that don't bleed. The margin difference is usually used for page numbers and publication folios. (Ever notice on full page ads that bleed there isn't a page number or folio).

The BLEED SIZE given by a publication is actually an irrelevant specification. It's pretty much a given that a bleed ad requires at least an 1/8" run-off per side. This is primarily for printing and trimming tolerances. It assures that your graphic actually runs off the edge of the page.

Ads sitting for more than 10 working days get cancelled and charged for production.

All new 4/color ads need matchprint and creative signed off. NO EXCEPTIONS!

Changing approved formats needs written approval from Managing Director. NO EXCEPTIONS!
